Executive Assistant

The organisation is led by an ambitious, fast-moving CEO and is known for its performance-driven culture, global exposure, and cutting-edge approach within the digital asset ecosystem.
This is a critical, high-impact Executive Assistant role supporting the CEO directly.
It's not just managing schedules, but orchestrating the CEO’s day-to-day operations, ensuring priorities are executed seamlessly, and enabling maximum efficiency at all times.
This is a role for someone who thrives in a fast-paced, high-performance environment and is comfortable operating with autonomy, discretion, and precision.
What you will do:

Travel & Logistics
- Manage end-to-end global travel arrangements, including complex multi-leg itineraries across regions
- Coordinate flights (commercial and private where required), accommodation, visas, and ground transport
- Build and maintain relationships with premium travel and hospitality providers
- Anticipate and resolve travel disruptions proactively across time zones

Calendar & Schedule Management
- Own and optimise a highly dynamic, multi-time zone calendar
- Prioritise and structure the CEO’s time to align with business priorities
- Coordinate meetings with investors, partners, and internal stakeholders, ensuring full preparation in advance
- Proactively identify and resolve scheduling conflicts

Communications & Stakeholder Management
- Manage and triage the CEO’s inbox, ensuring timely and appropriate responses
- Draft communications on behalf of the CEO with a high level of professionalism
- Act as a key point of contact for external stakeholders
- Handle all confidential matters with the utmost discretion

Internal Coordination & Execution
- Act as a liaison between the CEO and internal teams
- Track action items, follow through on deliverables, and ensure accountability
- Prepare meeting agendas, document key outcomes, and drive follow-ups
- Support internal initiatives and onboarding efforts where required

Ad Hoc & Personal Support
- Provide additional administrative and personal support as needed
- Manage appointments, reservations, and time-sensitive requests with discretion
- Ideal Candidate Profile
What you will need:
- Fluent in English and Cantonese (written and spoken)
- Prior experience supporting a senior executive, founder, or C-suite leader
- Strong experience managing complex international travel arrangements
- Highly organised with exceptional attention to detail
- Proactive, resourceful, and able to anticipate needs ahead of time
- Professional, discreet, and dependable
