This is a seconded position, meaning the selected candidate will be employed by ITAC but work on assignment with one of our clients. While day-to-day responsibilities will be managed on-site with the client, ITAC provides ongoing support, resources, and benefits as your employer. This position is part-time (3 days a week) with potential to turn full-time and is for an expected duration of six (6) months to one (1) year with an opportunity for extension. Please only apply if these requirements are agreeable to you. Objective We are seeking an administrative / project assistant to join our team. This team member will provide essential operational, administrative, and projectâbased support to ensure effective coordination across meetings, travel, document control, corporate housing, and clientâfacing activities. This role is designed for a highly organized, detailâoriented professional who can manage multiple priorities, maintain accurate documentation systems, and support ongoing project needs while contributing to a seamless and efficient work environment. Responsibilities Coordinate meetings and onsite activities , including arranging catering, reserving conference spaces, and supporting logistics to ensure smooth execution. Manage travel arrangements for team members, including booking transportation, lodging, and related itinerary needs. Process SAP payments such as apartment lease expenses and other vendor payments; prior SAP experience preferred. Support the creation and management of MSAs (Master Service Agreements), including drafting, routing, and administrative preparation. Assist with internal and external SharePoint audits , including user access management, file cleanâup, eliminating duplicates, renaming documents to align with Aconex standards, and identifying files requiring upload into Aconex. Manage monthly utility payments for corporate apartments to ensure all accounts remain current. Support the setup, housekeeping coordination, and ongoing maintenance for five or more corporate apartments, with responsibilities expanding as additional units come online. Learn and utilize Aconex to provide document control support as needed, ensuring accurate and timely record management. Requirements Strong organizational and time-management skills with the ability to coordinate meetings, reservations, etc. Experience managing travel arrangements Familiarity with SAP for processing payments (prior SAP experience preferred) Ability to support contract administration tasks Working knowledge of Sharepoint or similar platforms, including user access management and file organization Ability to perform document clean-up tasks such as renaming, deduplicating, and aligning files with project standards Strong attention to detail, organizational skills, and ability to handle multiple tasks at once Ability to prioritize well and take initiative working autonomously Benefits From internships to seasoned professionals, our growing company provides career opportunities for all levels of experience.
